Form 16
Form 16 is a certificate under section 203 of the Income Tax Act 1961, which gives the information on the tax deducted at source (TDS) from income chargeable under the head “salaries”. It gives details of the tax deducted by the employer. Form 16 is useful in filing your income tax return (ITR).
To view form 16:
On the HR menu, under Payroll, click Form 16.
The Form 16 page appears.
There are four options under Filter Type drop down box.
If you want to go for filter employees from the filter type drop down box.
Select Filter Employees from the Filter Type drop down box.
The details displayed are the following:
Select the division from the Division check box drop down box.
Select the department check box from the Department drop down box.
Select the location check box from the Location drop down box.
Select the designation check box from the Designation drop down box.
Click Search.
Note 1: To
include all the fields from the drop down box, click Check
All.
Note 2: To
exclude all included fields from the drop down, click Uncheck
All.
Note 3: To
exclude a specific field from the drop down, clear the corresponding check
box.
The employee details will be displayed under Filter Result section.

Click Next to go to the next page.
Click Previous to go back to the previous page.
Click Last to go to the last page.
Click on the check box for whom you want to run the Process Form 16 and click Process Form 16.
Job ID will be created under Form -16 Process Details section.
Status of the process will appear as processing till the process is completed.
Once the process gets completed, status will appear as Reprocess.
If there is an error in the process,
the arrow will turn red.
Download the file to analyze the errors.
If you want to go for employee search from the Filter Type drop down box.
Select Employee Search from the Filter Type drop down box.
The details displayed are:
In the Employee search text box press the SPACEBAR (on the keyboard) once, select the employee name and click Search.
The employee details will be displayed under Filter Result.

Click on the check box for whom you want to run the Process Form 16 and click Process Form 16.
The form 16 process scheduled for that particular employee.
Job ID will be created under Form- 16 Process Details section.
Status of the process will appear as processing till the process is completed.
Once the process gets completed, status will appear as Reprocess.
If there is an error in the process,
the arrow will turn red.
Download the file to analyze the errors.
If you want to go for Upload Employees from the Filter Type drop down box.
Select Upload Employees from the Filter Type drop down box.
The details displayed are:
In the Excel Template, click Download to download the Form 16 Process Excel.
Update the list of employees for whom the process needs to be run in the downloaded template
Click Choose File, browse and select the file to upload.
Click Upload to upload the updated Form 16 Process Excel.
Name of the employees will appear under Filter Result.
Select the check box under filter result or select all and then click Process Form 16.
Job ID will be created under Form -16 Process Details section.
Status of the process will appear as processing till the process is completed.
Once the process gets completed, status will appear as Reprocess.
If there is an error in the
process, the arrow will turn
red.
Download the file to analyze the errors.
If you want to go for All Employees from the Filter Type drop down box.
Select All Employees from the Filter Type drop down box.
Click Process Form 16.
The details will be displayed under Form -16 Process Details.

Status of the process will appear in the left side of JOB ID. It will appear as processing till the process is completed.
Once the process is completed, status will appear as Reprocess.
If
there is an error in the process the arrow
will turn red.
