Regularization of Attendance Configuration Settings

Regularization of Attendance refers to the page where the administrator can configure the settings for the attendance regularization. You can select the attributes by clicking applicability mapping, attendance type and so on.

To view the Regularization of Attendance Configuration Settings:

The Regularization of Attendance Configuration Settings page appears.

The details displayed are:

    1. Select the Attendance Type from the drop down box.

    2. Click Applicability Mapping to select the attributes.

      1. Select the employment type from the Employment Type drop down box.

      2. Select the division/SBUs from the Division/SBUs drop down box.

      3. Select the department from the Department drop down box.

      4. Select the branch from the Branch drop down box.

      5. Select the cities from the City drop down box.

      6. Select the designation from the Designation drop down box.

Note 1:  The parameters which are added through master configuration form and made active will be listed in the Applicability mapping section.

Note 2:  
The parameters are non-mandatory and multi-select.

Note 3:  
If none of the parameters are selected then system will validate “Please select at least one attribute from Applicability mapping”.

    1. Select the approver from the Approver option.

    2. Select the HR from the Select HR drop down box.

Note 1:  The employees who have been mapped to HR role will be populated in the drop down box.

Note 2:  
Drop down is a multi-select.

Note 3:  
User can select all the 3 levels of approver or either 1 or 2. According to the selection, approval mail will be sent.

Note 1:  Only numeric values to be entered and if non numeric values are entered then system should validate “Please enter only numeric values in the “no of day’s text box”.

Note 2:  
If Approve option is selected and no of days is provided as 2, if no action is taken within 2 days then the flow will be auto approved within 2 days.

Note 3:  
If Reject option is selected and no of days is provided as 2, if no action is taken within 2 days then the flow will be auto rejected within 2 days.

Note 4:  
Scheduler to be introduced to check the auto approval days. It should run in daily basis.

Example: If employee have raised Regularization on 14th Jan and auto approval days is set as 2. If action is not been taken then by 16th Jan the form will be auto approved with the mail to be sent to the employee.

    1. If Yes is selected in Escalation Required option then “Escalation” text box will be enabled.

If No is selected in Escalation Required option then “Escalation” text box will not be enabled.

Note:  If 2 is keyed and if first level of approver haven’t took any action then it will be sent to next level and if the subsequent level have not taken any action then it will be escalated to next level. (More than 1 levels of approval should be selected).

    1. If Yes is selected in Reminder option then “Reminder” text box will be enabled.

If No is selected in Reminder option then “Reminder” text box will not be enabled.

Note 1:  If Reminder is selected as Yes then Reminder field will become mandatory, if user haven’t provided any values then system will validate “Please provide the values in reminder field”.

Note 2:  
It is based on the raised days.

Note 3:  
If Escalation is selected as Yes then escalation field will become mandatory, if users haven’t provided any values then system will validate “Please provide the values in Escalation field”.

Note 4:  Escalation days should be greater than the Reminder days.

Note 5:  
Auto approve days should be greater than reminder and escalation days. Or else system will validate the message.

Note 6:  
For reminders and escalation “Reminder and Escalation days cannot be greater than Auto approval no of days”.

Example: If attendance regularization is raised on 4th Nov and in reminder text box, 2 is provided then by 6th Nov reminder mail will be sent to the approver.

    1. In "Auto Approval Under Myself" option, if Yes is selected then “Based on” option with the set of attributes will be displayed with drop down.

      1. Select the type of employment from the Employment Type drop down box.

      1. Select the department from the Departments drop down box.

      2. Select the cities from the Cities drop down box.

      3. Select the employee search from the Employee Search drop down box.

      4. Select the divisions/SBUs from the Division/SBUs drop down box.

      5. Select the branch from the Branch drop down box.

      6. Select the designation from the Designation drop down box.

Note 1:  If Auto Approval under Myself is set as Yes then under My self- Regularization of Attendance, “Regularization request raised will be auto approved”.

Note 2:  
Select All check box if you want to select all the attributes or else unclick the check box.

Note 3:
The attribute list should include dynamic as well as static masters from master configuration.

Note 4:  
Master values should be populated from appropriate masters. All the drop down is multi select.

Note 5:  
Employee Search drop down will be dependant with the attribute values selected.

Note 6:  
Employees who have been selected will be having the “Auto Select” check box in the “Regularization of Attendance” screen.

Note 7:  
User can select “Designation as Vice President” and save the form. So employees who belong to the Vice president designation will be having “Auto Approval” check box in the Regularization of Attendance Screen.

Note 8:  
If Auto approval is set as “Yes” and if users have not selected any attribute values and tries to save then system will validate “Please select at least one value from the master”.

Example: If user selects designation as “Vice President: then the employee search should load with the employees who belongs to Vice present designation and if user selects with combination .i.e.: Designation as “Vice President” and department as “Corporate” then employees who belongs to those combination will be listed.

    1. Click Save to save the configuration done.

    2. Click Reset to reset the configuration from the start.
