Applying or Cancelling Leave
You can apply for leave in the Apply/cancel leaves page.
In case you want to cancel a leave, you can do so in the Apply/cancel leaves page.
However, you can only cancel leave if it is approved by your team lead / reporting manager.
When you are applying for leave, you are also informed about number of leaves that are available to you.
To apply leave:
In the home page, do any of the following:
In the My Self grid box, click My Leave.
On the My Self menu, under My Leave, click Apply/Cancel Leave.
The Apply Cancel Leave page appears, displaying details of your existing leave records.
Click Apply Leave.
The Apply Leave dialog box appears with the leave application form.
In the Leave type drop-down box, select the type of leave you want to apply.
The fields are refreshed and Leave balance now displays the number of leaves available under the selected leave category.
The names of all your approvers appear automatically in the Approver drop-down box.

Note 1: According to the configuration
set in the Leave Attribute page
under PW Admin menu, employee
can apply leave for the past days or future days.
Note 2: Employee can apply leave for the past year only
when employee have appropriate leave balance.
Note 3: According to the configuration set in PW
Admin>> Leave Admin>> Applicability, user has set the
days to allow the employees to apply the leave. i.e.: only for the configured
days, employees can apply the leave.
Note 4: If in the PW Admin, the user have selected “Compensatory
off” as the leave type and have selected the credit policy and other 6
parameters and under “Selected day (s)”
drop down box if “Saturday” is selected then user who belongs to selected
parameter can apply Compensatory off only on Saturday.
Note 5: If User has selected “Casual leave” from the
Leave Type drop down box and set
“Tuesday and Wednesday from the Selected
Day (s) drop down box in the Add Leave Applicability Mapping window
and when employee applies casual leave on Monday which is not set for
this leave type then system will validate “Leave cannot be applied on
the selected day (s)”.
Note 6: According to the leave accounting period the
leave application can be raised. If it is the calendar year then leave
can be raised for the current year and next year. For e.g.: 2015
and 2016. If it is the financial year then leave can be raised for 2015-2016
and from 2016-2017.
Note 7: If half day working has been set on Saturday
and if an employee wants to apply leave on Saturday then system should
consider it as half day and not full day.
Note 8: If “Linked to marital status “is selected
as “Yes” in PW Admin>>Leave Admin>>
Leave Attribute for Maternity leave or Paternity leave and in the
General info >> My Details>>My
Self if marital status is selected as “Single or Divorced” then
those employees cannot apply against the maternity leave or paternity
leave.
Note 9: If “Linked to marital status “is selected
as “Yes” in PW Admin>>Leave Admin>>
Leave Attribute for Maternity leave or Paternity leave and in the
General info >> My Details>>My
Self if marital status is selected as “Married” then those employees
can apply against the maternity leave or paternity leave.
Note 10: If “Linked to marital status “is selected as “No”
in for Maternity leave or Paternity leave and if marital status is selected
as “Single or divorced or Married” then those employees can apply against
the maternity leave or paternity leave.
Note 11: In the leave attribute page “Link to marital status”
is selected as “Yes” against maternity leave and for the employee marital
status is selected as “Single” in general info page and if that employee
wants to apply maternity leave in ‘Leave Grant’ page or in ‘Apply/Cancel
Leave’ page then system will validate the message “You are not eligible
to apply for this leave type”.
Note 12: Carry forward for different leave type is based on the leave configuration
set under leave module.
For example: If half day working has been set for an employee on Saturday i.e.: 25th September and if that employee wants to apply leave from 24th , 25th and 27th then system should consider leave as 2.5 days and not 3 days.
Click the From Date box and on the calendar, select the date from when you want to apply leave.
Click the To Date text box and on the calendar select the date up to when you want to apply leave.
In the drop-down boxes corresponding to the From Date and To Date, select the session for which you are applying leave.
The fields are refreshed and Days now displays the number of days you have applied for leave.
Note:
Session 1 indicates pre lunch and Session 2 indicates post lunch.
Session 1 to Session 2 makes one complete day.
For example, if you are applying leave for only the first half of a day,
select the same date in From Date and To Date and ensure that you select
Session 1 against both From Date and To Date.
If you are applying leave for the whole day, select Session 1 against From
Date and Session 2 against To Date and ensure that you select Session1
against both From Date and To Date.
In the Expected return date text box and on the calendar, select the expected return date.
In the Approver drop-down box, select your team lead / reporting manager who has to approve this leave.
Note: The Approver drop-down box is enabled based on the approval hierarchy.
In the Reason drop box, enter the reason for the leave application.
In the Document field,click “Choose File” to browse and select the file. Click Upload to upload the file.
In the Contact Details text box, enter the contact details during the leave period.
In the CC text box, click Select Recipients and in the Employee Search dialog box, search and add the employees to whom you wish to mark a copy of the leave application, and then click OK.
To attach any relevant files such as a medical report for reference, click Choose File, then browse and select a file in PDF, Jpeg or Excel format and then click Attach.
Click View to view the attached document
Note 1: If there are files attached for leaves
for multiple reasons, the pop-up displays the supporting documents in
a serial order
Note 2: Up to 1 mb files can be uploaded in the system.
Note 3: Mail Intimation will be sent to the marked employee.
Click Submit.
Your leave application is submitted for approval. Your team lead/ reporting manager receives an e-mail notification for approval of the leave application request.
Note 1: When employees have requested
for leave or On duty or cancel request then mail intimation will be sent
to the reporting officer for the approval of the request.
Note 2: If the application is been approved / rejected in the
mail then the mail intimation will be sent to the employees about the
approval/reject application status.
Note 3: If the employee raises the leave application, leave
cancellation or leave grant, then mail intimation will be sent to the
reporting officer for the approval or rejection of the request.
Note 4: To exit without submitting the leave application, click
Cancel.
Note 5: Applicable notifications or alerts, if any, regarding
your leave application such as available number of days being less
than the number of days you are applying, appear at the top of the window.
Note 6: All fields marked *
are mandatory. You cannot leave them blank.
Note 7: A Comp Off usually requires approval or credit by your
team lead / manager as well as HR department.

Cancelling leave
To cancel leave:
On
the Apply / cancel leave page, select the Request cancellation
icon corresponding to the approved leave
record that you want to cancel and click Request
cancellation icon
The Cancel leave dialog box appears, displaying the details of the leave such as the type of leave, leave application date, number of days applied and your team lead / reporting manager’s name.
Withdrawing Leave Grant Application DetailsIn the Reason text box, enter the reason for cancelling your leave.
Click Submit.
Your leave cancellation request is logged and your manager receives an e-mail notification for approval of the leave cancellation request.
Note: To exit without submitting the leave cancellation application, click Cancel.
