Generating Attendance Details Report

You may need to view a summary of the attendance details of employees at any point of time. You can generate a consolidated report for all employees or customize the report output based on your requirements.

To generate a consolidated attendance details report for all employees:

  1. On the Reports menu, under Attendance, click Attendance details.

  2. Click the From date box and on the calendar, select the date from when you require the attendance details.

  3. Click the To date box and on the calendar, select the date up to when you require the attendance details.

  4. Click Create Report or Export to Excel to generate the report.

The attendance details report is generated for all employees.

Note:               The difference between From date and To date cannot be greater than 31 days.

You can customize the report output of employee attendance details by selecting:

To customize the output of attendance details report:

  1. On the Attendance details page, select the criteria as per your requirements:

  2. To generate a report for employees working in a particular city, click the City drop-down box and select the city/cities.

  3. To generate a report for employees working in a particular branch of the organization, click the Branch drop-down box and select the branch/branches.

  4. To generate a report for employees working in a particular branch of the organization, click the Divisions drop-down box and select the Divisions/ Divisions.

  5. To generate a report for employees working in a particular process of the organization, click the Process drop-down box and select the Process/Processes.

  6. To generate a report for employees working in a particular sub-process of the organization, click the Sub-Process drop-down box corresponding to the process and select the Sub-Process/Sub-Processes.

  7. To generate a report for employees working in a default shift of the organization, click the Default Shifts drop-down box and select the shift timings

  8. To generate a report for employees working in a work shift, click the Work Shifts drop-down box and select the work shift timing.

  9. To generate a report for employees with a particular designation, click the Designation drop-down box and select the designation/designations.

Note 1: In the drop-down boxes provided to filter data, click Check All to select all the check boxes and Uncheck All to clear all the check boxes.
Note 2: Single swipe absent or present is based on admin configuration set under attendance module.
Note 3: User has to select the work shift with date range to generate the report so that employee(s) who is/are falling on the selected date range will be listed with the appropriate work shift.

  1. Click the From date box and on the calendar and select the date from when you require the attendance details.

  2. Click the To date box and on the calendar and select the date up to when you require the attendance details.

Note:              The difference between From date and To date cannot be greater than 31 days.

The customized output of Attendance details report for the specified criterion/criteria is generated.

The columns displayed in the Attendance details report are:

Column

Description

Employee ID

Displays the ID assigned to the employee

Employee name

Displays the name of the employee

Designation

Displays the designation of the employee

Sub-Process

Displays the sub-process to which the employee belongs

Process

Displays the process to which the employee belongs

Division

Displays the division to which the employee belongs

RO

Displays the name of the reporting officer or manager of the employee

Rev officer

Displays the name of the employee’s manager’s manager

For every day of the period specified, following details are displayed for each employee

In time

Displays the time when the employee reported at the work place

Out time

Displays the time when the employee left from the work place

Total hours

Displays the total number of hours the employee worked

Default Shift

Displays the default shift in which the employee worked

Work Shift

Displays the work shift in which the employee worked

Shift

Displays the shift in which the employee worked

Status

Displays the status for the day:

P - Present

A - Absent

HO - Holiday

WO - Weekly Off

LOP - Applied for leave with LOP

Not applied for leave or not reported for work - Loss of Pay (AB)

CO - Comp Off.

Shortage of hours

Displays the number of hours of shortage the employee has on that day
