Viewing Regularization of Attendance
You can use this form to apply for attendance regularization.
To view your regularization of attendance details:
In the home page, do any of the following:
In the My Self grid box, click My Attendance.
On the My Self menu, under My Attendance, click Regularization of Attendance.
The Regularization of Attendance page appears.
To apply for regularization of attendance,
Click Apply for Regularization button.
The Apply Attendance Regularization dialog box appears.
Select the attendance type from the Attendance Type drop down box.
"Duration" drop down box consist of two options: one is "Date" and the other one is "Time".
Select Date or Time from the Duration drop down box.
If Date is selected from the Duration drop down box, LOP Days for Current Month will be displayed in the grid with select all options.
User can select any particular day or all the LOP days to regularize the attendance.
LOP days will be visible pertaining to the payroll cut off period.
Note 1: Attendance
Regularization cannot be applied on leave date.
Note 2: If
Payroll cut off period is 21st to 20th then for the Feb month, LOP days
will be visible from Jan 21st to Feb 20th. Buffer period has been introduced
for 3 days. So LOP days will be visible till 23rd, if payroll cut off
is on 20th.
Note 3: In
PW Admin menu under Regularization
of Attendance Configuration Settings, if Auto
Approval under Myself is
set as Yes then under My
self- Regularization of Attendance “Regularization request raised
will be auto approved”.
If Time is selected from the Duration drop down box, then the form will refreshed with Date and Time field.
In the Date text box, select the date from the calendar that appears.
In the Time option, time should be selected from the From and To drop down box.
Note 1: There
will be 15 minutes interval.
Note 2: If From Time
and To time are selected more than the daily working hours then the system
will validate “Time limit cannot be more than daily working hours”.
While applying for regularization, if employee checks the “Auto approve” box and saves it then form will be auto approved.
Note 1: E-mail
intimation will be sent to the employee regarding auto approval.
Note 2: In PW
Admin>>Attendance Admin- Regularization of Attendance Config settings,
if auto approval under myself is set as yes then under My
self>>Regularization of Attendance - Auto approval check
box will be removed and “Regularization request raised will be auto approved”.
Note 3: The auto approval
should be applicable for both the duration “time based” and “day based”.
Note 4: By default “Auto
approval” should be checked. When submit button is clicked then form will
be auto approved.
Enter the reason in the Reason text box.
Click Submit to submit the regularization of attendance.
Click Reset to reset the configuration from the start.
Note: If reason is configured for any attendance type and when appropriate attendance type is selected the reason will change as drop down. If no reasons are configured then reason will be in the text box.
The details will get displayed in the grid.

Withdraw |
Click |
If you want to
withdraw attendance of regularization, click
icon.
A confirmation message appears to withdraw the Attendance Regularization.
Click OK to confirm or else click Cancel.
Note 1: The
values of Attendance Type drop
down will be populated based on the configuration done in the PW
Admin>>Regularization of Attendance configuration settings
screen.
Note 2: Once approved,
user can cancel the raised request. By clicking on
symbol, cancel request will be raised and once approved, attendance
will be cancelled.
Note 3: If user have rejected
the attendance request or approved the attendance request or if the request
is pending then the status will be marked in the form.
Note 4: If the attendance
is been approved then the attendance status should be changed to "Attendance
Regularization".
Note 5: If users have set
“Min working hours” as 8 and if user have not fulfilled the minimum working
hours then status will be marked as “Absent” i.e.: “early swipe out or
late swipe in”.
Note 6: Event to be configured
as “Auto Approval for regularization of Attendance”. Under “To” “Employee”
should be added. If “Employee” is selected then employee who are applying
regularization and checks on auto approval, email intimation will be sent.
And If “RO” is selected in “CC” then employee who are applying regularization
and checks on auto approval, email intimation will be sent to employee
and CC to employee’s RO.
Note 7: When Auto approval
is selected as “Approved” in the configuration form and when no action
is taken for the regularization form raised by employee the form will
be auto approved. Mail intimation will be sent basis the “Auto Approved”
event. Same concept for auto rejects. System should take “Auto Rejected”.
Note 8: Once the regularization
is raised for the employee and if it is been auto approved, under My self-
My Attendance-Regularization of attendance, record will be maintained.
Employee can reapply for the approved/applied days.
