Managing Candidate Details

The Manage candidate page allows you to add the details of a new candidate. You can also search for a candidate whose details are already recorded and edit or delete the details. You can also submit the candidate’s details to the next stage in the recruitment process.

To add candidate details:

You can add candidate details using any of the following two ways:

To add the details of a candidate:

  1. On the HR menu, under Recruitment, click Recruitment workspace.

  2. On the navigation pane, click Manage Candidate.

The Manage candidate page appears.

  1. Click Add.

The Add Candidate Details dialog box appears.

  1. In the First Name, Middle Name and Last Name text boxes enter the candidate’s first, middle and last name respectively.

  2. In the Email –ID text box, enter the e-mail id of the candidate.

  3. In the Location drop-down box, select the location to which the candidate has applied.

  4. In the Designation drop-down box, select the designation or job for which the candidate has applied.

  5. In the Band drop-down box, select the band to which the candidate is assigned.

  6. In the Structure drop-down box, select the pay structure applicable to the candidate.

  7. Click Department if the candidate is assigned to a department, else click Process.

  8. In the Department / Process drop-down box, select the department or process to which the candidate is assigned.

  9. Click the Date of Joining box, and on the calendar select the date when candidate joins the organization.

  10. In the Enter CTC Rs. Text box, enter the candidate’s CTC in Rupees.

  11. In the Bond name text box, enter the name of the bond, if any, applicable to the candidate.

  12. In the Bond amount text box, enter the amount to be paid by the candidate to the organization, according to the bond.

  13. Click the From Date box and on the calendar, select the date from when the bond is applicable.

  14. Click the To Date box and on the calendar, select the date till when the bond is applicable.

  15. In the Hiring source drop-down box, select the source that referred the candidate.

  16. In the Comments text box, enter any relevant comments.

  17. In the Cost text box, enter the cost of the source.

  18. In the Mark letter to text box, enter the e-mail ids of the people whom you want to intimate regarding the candidate.

  19. Do one of the following:

  20. To save the details and close the window, click Save and Close.

  21. To save the details and continue adding details of another candidate, click Save and Continue.

Note 1:             To exit the dialog box without saving the details, click Cancel.

Note 2:             Fields marked * are mandatory and cannot be left blank.

 

To upload candidate details as an excel file:

  1. In the Module drop-down box under the Candidate excel upload section, select the module for which you want to upload candidate details

  2. Click Download to download and save the file that contains the format in which you should enter the details.

Note 1:             Ensure that you enter the details as specified in the downloaded file.

Note 2:             Fields marked * are mandatory in the downloaded excel file and cannot be left blank.

  1. Click Browse corresponding to the Excel upload text box and select the file that you want to upload.

  2. Click Save.

The uploaded file with the candidate details is saved.

 

To edit candidate details:

  1. On the HR menu, under Recruitment, click Recruitment workspace.

  2. On the navigation pane, click Manage Candidate.

The Manage candidate page appears.

  1. On the list of candidates, select the check box corresponding to the candidate whose details you want to edit and then click Edit.

The Edit candidate details dialog box appears.

  1. Modify the required details, do one of the following:

  2. To save the changes to details and close the window, click Save and Close.

  3. To save the details and continue editing details of another candidate, click Save and Continue.

Note 1:             To exit the dialog box without saving the details, click Cancel.

Note 2:             It is recommended that you do not edit Salary details from the Manage Candidate Page and you edit only basic details
                      like email address, name and so on in this page.

 

To submit candidate details to the HR Workspace:

  1. On the list of candidates in the Manage candidate page, select the check box corresponding to the candidate whose recruitment you want to process, and click Submit.

  2. To confirm the submission, in the confirmation dialog box, click OK.

The candidate details are moved to the HR workspace.
