Applying or Cancelling Leave

You can apply for leave in the Apply/cancel leaves page under Team Leave.

In case you want to cancel a leave, you can do so in the Apply/cancel leaves page.

However, Reviewing Officer can apply or cancel the leave on behalf of the employee.

To apply leave:

The Apply Cancel Leave page appears.

To apply leave on behalf of their team employees

    1. In the Employee Search text box, enter the employee name/employee ID or press the SPACEBAR (on the keyboard) once to retrieve the list of employees.

    2. Click Search.

Note 1:  To apply leave, a pop-up message appears, “Please select employee and click on Search”.

Note 2:  If in the Leave Attribute under PW Admin menu, if Approval Level is selected as 1 from the drop down box and RO is applying on behalf of the employee then it should get auto approved or if approval level is selected as 2 then the
approval notification should be sent to the next level and so on.

Note 3: Carry forward for different leave type is based on the leave configuration set under leave module.

    1. Click Apply Leave button to apply leave on behalf of the employee.

 'Apply Leave' window appears.

      1. In the Leave Type drop-down box, select the type of leave you want to apply on behalf of the employee.

The fields are refreshed and Leave balance now displays the number of leaves available under the selected leave category.

        • The names of all your approvers appear automatically in the Approver drop-down box.

      1. Click the From Date box  and on the calendar, select the date from when you want to apply leave.

      2. Click the To Date text box and on the calendar select the date up to when you want to apply leave.

      3. In the drop-down boxes corresponding to the From Date and To Date, select the session for which you are applying leave.

The fields are refreshed and Days now displays the number of days you have applied for leave.

Note 1:   Select the Auto Approve check box if you want the leave to be automatically approved. Clearing the check box will enable the normal leave approval workflow

Note 2:   Session 1 indicates pre - lunch and Session 2 indicates post lunch.
Session 1 to Session 2 makes one complete day.

Note 3:   If half day working has been set on Saturday and if an employee wants to apply leave on Saturday then system should consider it as half day and not full day.

Note 4:   If “Linked to marital status “is selected as “Yes” in PW Admin>>Leave Admin>> Leave Attribute for Maternity leave or Paternity leave and in the General info >> My Details if marital status is selected as “Single or Divorced” then those employees cannot apply against the maternity leave or paternity leave.

Note 5:   If “Linked to marital status “is selected as “Yes” in PW Admin>>Leave Admin>> Leave Attribute for Maternity leave or Paternity leave and in the General info >> My Details if marital status is selected as “Married” then those employees can apply against the maternity leave or paternity leave.

Note 6:   If “Linked to marital status “is selected as “No” in for Maternity leave or Paternity leave and if marital status is selected as “Single or divorced or Married” then those employees can apply against the maternity leave or paternity leave.

Example 1:    If half day working has been set for an employee on Saturday i.e.: 25th September and if that employee wants to apply leave from 24th , 25th  and 27th then system should consider as 2.5 days as leave and not 3 days.

Example 2:    If you are applying leave for only the first half of a day, select the same date in From Date and To Date and ensure that you select Session 1 against both From Date and To Date.

Example 3:    If you are applying leave for the whole day, select Session 1 against From Date and Session 2 against To Date and ensure that you select Session1 against both From Date and To Date.

      1. In the Approver drop-down box, select the team lead / reporting manager who has to approve this leave.

Note 1:  The Approver drop-down box is enabled based on the approval hierarchy.

      1. In the Reason drop box, enter the reason for the leave application.

      2. In the Contact Details text box, enter the contact details of the employee during the leave period.

      3. In the CC text box, click Select Recipients and in the Employee Search dialog box, search and add the employees to whom you wish to mark a copy of the leave application, and then click OK.

      4. To attach any relevant files such as a medical report for reference, click Choose File, then browse and select a file in PDF, Jpeg or Excel format and then click Attach.

Note 1:  If there are files attached for leaves for multiple reasons, the pop-up displays the supporting documents in a serial order.

Note 2:  Up to 1 mb files cab ne uploaded in the system.

Note 3:  The mail id should be marked as RO (on behalf of Employee name).

Note 4:  RO can cancel the leave on behalf of the employee.

      1.  Click Submit to submit the leave application.

The details will be displayed in the grid.

Leave application details

Field

Displays the status of employee leave application.

Leave type

Displays the type of leave grant applied. For example, casual leave, sick leave, annual leave

Applied date

Displays the date of employee leave application

From date

Displays the date from when the leave is applied

To date

Displays the date up to when the leave is applied

Days

Displays the number of days for which leaves is applied.

Reason

Displays the reason for applying leave

Status

Displays the status of leave application

For example, Applied, Approved, Cancelled

Attachments

Displays hyperlink to download or delete the uploaded attachments

Note 1:  To exit without submitting the leave application, click Cancel.

Note 2:  Applicable notifications or alerts, if any, regarding your leave application such as available number of days being less than the number of days you are applying, appear at the top of the window.

Note 3:  All fields marked * are mandatory. You cannot leave them blank.

Note 4:  A Comp Off usually requires approval or credit by your team lead / manager as well as HR department.

Note 5: Indicates that the record is an unapproved leave application and can be withdrawn.

Note 7:  Click Reset to rest the configuration from the start.

To view the previous raised details of the employee

    1. In the Employee Search text box, enter the employee name/employee ID or press the SPACEBAR (on the keyboard) once to retrieve the list of employees.

    2. Click the From date text box and on the calendar, select the date from when you want to view the leaves.

    3. Click the To date text box and on the calendar, select the date up to when you want to view the leaves.

    4. Click Search.

All the records that match the specified search criteria appear.
