On Boarding Candidates
You can onboard candidates in the On boarding candidates page. You can also indicate whether the candidate has reported, view the letter given to the candidate and also mark whether the candidate has provided all the required documents on the pre-joining checklist. You can add a candidate as an employee in the organization. You can assign an employee id, roles and also the reporting manager.
You can also broadcast to the concerned departments about the new joinees. This helps the concerned departments to complete the tasks such as allocating assets such as laptop, id card, and so on and setting up workstation for the new joinees.
To search for candidates whom you want to on board:
In the Candidate name text box, press SPACEBAR (on the keyboard) once or enter the first letter of the candidate’s name, and on the list select the candidate’s name.
To search for candidates whose joining date falls in a particular date range:
Click the From Date of Joining box, and on the calendar select the starting date of the date range.
Click the To Date of Joining box, and on the calendar, select the ending date of the date range.
Click the Show Selected check box to view On Boarded employee’s details where HR/Admin can check the post on boarded information details.
Click Search.
The records that match the specified criterion appear.
To on board candidates:
On the HR Menu, under On board, click On boarding candidates.
The list of all the candidates who can be on boarded appears.
To indicate that a candidate has reported for work on the joining date, under the Reported column, select the check box corresponding to the candidate.
To view and take an action on the checklist items, on the candidate record, under the Checklist column, click Select.
The Checklist dialog box appears.
The details displayed in the dialog box are:

Displays a link to browse and upload any document pertaining to the checklist item. Sometimes, if documents are submitted after the pre-joining process, they can be uploaded here if you have the required permissions. |

Displays the uploaded documents for that checklist item |
To validate a checklist item, select the corresponding check box.
If you have not validated a checklist item, you can select the reason for the same in the corresponding drop-down box under the Reason column.
If you want
to add a new checklist item for the candidate, in the Checklist
item drop-down box, select an item and click .
If you want
to remove a checklist item for the candidate, select the check
box corresponding to the item and click .
To upload a relevant document for the checklist item, click Browse corresponding to the item and on the Choose File To Upload dialog box, select the file and click Open.
Perform any of the following steps:
If you want to save any changes made in the Checklist dialog box, click Save.
If you want to save any changes and close the dialog box, click Save and Close.
Note: To exit without saving, click Cancel.
If you want to view the letter given to the candidate, on the candidate record, under the Letter column, click Letter Link.
Note: If
you want to delete the candidate details, click
and select the reason for deleting the candidate details.
To add the candidate as an employee, on the record, click Add employee link .
The Add Employee dialog box appears:
Select the title from the Title drop down box.
Note: HR can onboard the employees by adding the necessary details in “Add Employee” page.
The First name, Middle name, Last name, Date of joining, and E-mail ID automatically appear. They can also be changed if required.
In the Roles drop-down box, select the role assigned to the employee.
In the Reporting officer text box, press SPACEBAR (on the keyboard) once and on the list select the name of the person to whom the employee has to report.
In the Employment type drop-down box, select the type of employment.
The Employee ID is automatically generated, based on the employment type and appears in the text box.
In the PF Account No text box, enter the provident fund account number for the employee.
Click Save.
Note 1: Fields marked *
are mandatory and cannot be left blank.
Note 2: To exit without saving, click Cancel.
Note 3: While submitting the form, an email will be sent to the employee(s)
official email id regarding the login instruction.
To broadcast information about the new joinees to the concerned department, on the list of candidate records, select the check boxes corresponding to the candidates whose joining information you want to broadcast and click Broadcast.
A broadcast e-mail is sent to the concerned employees in the department.
