Applying or Cancelling Leave
In the Apply/Cancel Leave page, you can apply for leave, withdraw leave before approval and cancel an approved leave.
To apply a leave on behalf of an employee:
On the HR menu, under Leave, click Apply/Cancel leave.
The Apply/Cancel Leave page appears.
In the Employee Search text box, enter the employee name/employee ID or press the SPACEBAR (on the keyboard) once to retrieve the list of employees.
Click the From date text box and on the calendar, select the date from when you want to view the leaves.
Click the To date text box and on the calendar, select the date up to when you want to view the leaves.
Click

All the records that match the specified search criteria appear.
Click Apply Leave.
The Apply Leave dialog box appears.
In the Leave Type drop-down box, select the type of leave you want to apply.
The Leave balance field is refreshed and the available leave balance for the selected type is displayed.
The Approver drop-down box is automatically displayed.
Note 1:   If HR is applying leave on behalf 
 of an employee then From should 
 be marked as "HR" and employee’s RO will get the leave notification.
Note 2:   If HR cancels the leave on behalf of an employee then 
 From should be marked as “HR” 
 (on behalf of employee name).
Note 3:   According to the leave accounting period, the leave 
 application can be raised. If it is the calendar year then leave can be 
 raised for the current year and next year.  For e.g.: 2015 and 2016. 
 If it is the financial year then leave can be raised for 2015-2016 and 
 from 2016-2017.
Note 4:   If “Linked to marital status “is selected as “Yes” 
 in PW Admin>>Leave Admin>> 
 Leave Attribute for Maternity leave or Paternity leave and in the 
 General info >> My Details 
 if marital status is selected as “Single or Divorced” then those employees 
 cannot apply against the maternity leave or paternity leave.
Note 5:   If “Linked to marital status “is selected as “Yes” 
 in PW Admin>>Leave Admin>> 
 Leave Attribute for Maternity leave or Paternity leave and in the 
 General info >> My Details 
 if marital status is selected as “Married” then those employees can apply 
 against the maternity leave or paternity leave.
Note 6:   If “Linked to marital status “is selected as “No” in 
 for Maternity leave or Paternity leave and if marital status is selected 
 as “Single or divorced or Married” then those employees can apply against 
 the maternity leave or paternity leave.
Note 7: While applying or cancelling the leaves, HR needs to consider new 
 setting introduced in Leave Carry forward configuration. Carry forward 
 to different leave type with “Yes” or “No” option is introduced under 
 PW Admin > Leave > Leave Attributes > Configuring Leave Attributes.
Click the From date text box and on the calendar, select the date from when you want to apply the leave.
Click the To date text box and on the calendar, select the date up to when you want to apply leave.
The Days text box is refreshed to display the number of days for which you have applied leave.
Note 1:  Select the Autoapprove check box if you want the 
 leave to be automatically approved. Clearing the check box will enable 
 the normal leave approval workflow.
Note 2:  If half day working has been set on Saturday and if an employee 
 wants to apply leave on Saturday then system should consider it as half 
 day and not full day.
For example: If half day working has been set for an employee on Saturday i.e.: 25th September and if that employee wants to apply leave on 25th which is on Saturday then system should consider 25th as half day leave and not full day leave.
In the Reason drop down box, enter the reason.
In the Contact details text box, enter your contact details for the leave period.
In the Document field,click “Choose File” to browse and select the file. Click Upload to upload the file.
In the CC text box, click Select Recipients and in the Employee Search dialog box, search and Add the names of the employees to whom a copy of the leave application has to be sent after the approver takes any action.
Click OK.
Note 1:   If you want to attach any file 
 to the leave application, click Choose 
 file and then click Attach.
Note 2:  Up to 1 mb files can be uploaded in the system.
Note 3 : Click View to view the 
 attached document.
Note 4:  Skip step 9 in case you are applying leave on behalf of other 
 employees.
Note 5:  Mail Intimation will be sent to the marked HR (on behalf 
 of Employee name).
Click Submit.
The leave application is either submitted to the reporting manager for approval or automatically approved based on the selection in the Autoapprove check box.
Note 1:  To exit without submitting the leave 
 application, click Cancel.
Note 2:  Session 1 indicates 
 pre lunch session and Session 2 
 indicates post lunch session. Both together form a complete day.
Note 3:  All fields marked * 
 are mandatory.
Note 4:  
 Indicates that the record is an unapproved 
 leave application and can be withdrawn.
Note 5: 
To cancel a leave application:
In 
		 the Apply/Cancel Leave page, select the Request 
		 Cancellation icon 
corresponding 
		 to the leave record which you want to cancel.
Click Request 
		 Cancellation icon 
The Cancel Leave dialog box appears displaying the type of leave, from date, to date, number of days and name of the approver.
In the Reason text box, enter the reason for cancelling the leave.
Click Submit.
The leave application record is deleted in case the Autoapprove check box is selected, or else a cancellation request is raised for the reporting officer to approve.
